Job Description – Assistant to Site PM

  • At least (2-5) years of full-time experience -
  • Experience in PowerPoint, Outlook, Microsoft Office (Excel) required 

Responsibilities:

Coordinate training delivery

  • At Site PM’s direction, develop training schedule, schedule conference rooms, send meeting invites
  • Follow up to make sure end users completed required training
  • Schedule make up sessions as needed
  • Track the training progress
  • Report status to Site PM

Follow Ups/Communication

  • Attend meetings with site PM
  • Take meeting notes, document action items
  • Follow up on action items and track them to completion
  • Effectively communicate with project team members

Support project deliverables

  • Coordinate and track milestones, due dates
  • Send reminders to project team members if something is coming due or past due
  • Clearly document the progress and any dependencies
  • Will be responsible for the planning, directing and coordinating activities of a designated project to ensure goals, objectives and tasks are completed within a prescribed time frame.
  • May be responsible for the tracking and reporting of processes and making recommendations to improve procedures.
  • May be required to handle regulatory paperwork for clinical studies with the ability to process protocol and protocol amendments.
  • In addition may also be working in an administrative capacity for programs supporting clinical studies/projects that are being conducted in the field.
  • General offices duties include: Filing, faxing, photocopying, scheduling of meetings/telecoms, type minutes etc.

Qualifications:

  • Ability to work under pressure. Shows attention to detail.
  • Experienced with planning, directing, and coordinating projects.
  • Excellent Data Entry skills. Proficiency with Microsoft applications (Excel, Word, PowerPoint, Outlook).
  • Demonstrated strength in facilitating projects, multiple tasks and priority setting.

Requirements/Skill Level:

Basic

  • May require a bachelor's degree as specified and 3-5 years of experience in the field or in a related area.
  • Familiar with a variety of the field's concepts, practices, and procedures.
  • Relies on limited experience and judgment to plan and accomplish goals.
  • Performs a variety of tasks.
  • Leads and directs the work of others.
  • A wide degree of creativity and latitude is expected.
  • Typically reports to a manager or head of a unit/department.

  • May require a bachelor's degree as specified and 3-5 years of experience in the field or in a related area.
