  Job Description

  • The Global Learning Coordinator/Administrator role is key to enabling the Global Learning Team to operate effectively.
  • This role provides coordination, planning, and support in operational and administrative activities for the Chief Learning Officer & entire Global Learning Team.
  • The role requirements include, but are not limited to managing learning vendor relationships, learning communications and community activities for the Fundamental Skills faculty and providing coordination and administrative support for key global learning events.
  • This position will also serve on project teams to help design, develop, deploy and maintain the Fundamental Skills curriculum.
Responsibilities:
  • Responsible for coordination of global learning activation cost, specifically raising POs and ensuring invoices are paid in line with the learning investment plan.
  • Be a Master Shopper for the L&D team (raise purchase order requests, as well as process goods receipts within the accounts payable related systems)
  • Provide coordination and planning support for key global learning events 
  • Liaise with MBS Learning Team on Signature Leadership Program logistics to ensure the smooth running of key elements of our signature leadership development offers.
  • Act as the day to day manager of vendor relationships for our Fundamental skills faculty, including but not limited to LinkedIn, Rosetta Stone, GetAbstract and Skill Soft.
  • Work with the Communications Manager to market Fundamental Skills programs and help spread awareness and drive participation. 
  • Fundamental Skills Faculty offerings, when necessary
  • Managing the meeting schedule, agenda planning, pre-read circulation, minutes and actions
  • Support communication execution in collaboration with Learning Marketing and Communication Manager
  • Manage to the schedule of performance review/project meetings with our key global learning partners
  • Participating in and leading small to mid-sized projects as assigned by the Learning Leadership Team members
  • Performing team administration activities (meetings, calendars, travel, etc.) to support the effectiveness and efficiency of the team
  • Organizing global learning team meeting arrangements including monthly East & West video conferences, managing the agenda, coordinating invited guests, and publishing notes & actions

Qualifications:

  • Experienced in procurement processes/invoicing and financial follow-ups (e.g. Coupa)
  • Strong troubleshooting and problem-solving skills
  • Self-starter, able to work independently and in remote teams located across time zones
  • Integrity and professional maturity in dealing with senior stakeholders and external partners
  • Project Management Skills
  • Tech Savvy
  • Highly proficient in all aspects (formatting, templates, etc.) of Excel, PowerPoint & Word
  • Strong attention to detail and excellent written communication skills in English
  • Excellent organization, personal flexibility, and informing skills; ability to manage and correctly prioritize work

  • General administrative experience in areas such as coordinating and maintaining calendars, setting up meetings and travel
  • Great relationship-building skills
  • Proven experience in the above areas is essential
