  Job Description

  • This individual administers the execution of professional programs and coordinates the resources that are designed to develop and maintain synergistic professional relationships between external customers and company’s internal department teams across the three business units.
  • Manage the ‘New In-Practice’ program
    • Maintain the website
    • Coordinate account call activity on new grads with the internal ISR team
  • Manage the Contact Lens Education Program for students
  • Coordinate with the Cornea & Contact Lens Department Manager at each optometry school clinic
    • Order contact lenses
    • Maintain the contact lens ordering website
    • Assist in managing the appropriate inventory of contact lenses and lens care products
  • Coordinate the STAPLE Program (Toric & Multifocal Workshops) with WINK Productions
    • Preorder trial contact lenses for the programs
  • Manage the company’s ‘Ambassador’ Program
    • Schedule and coordinate with all three Business Units
    • Process payments
  • Coordinate Academic Newsletters
    • Academic Development Vision Care Newsletter (quarterly)
    • AOSA CLCS Newsletter
    • AOCLE Newsletter
    • NEW OD (semiannual)
  • Coordinate marketing support materials for other external programs
    • AOSA Info Nights
    • Optometric Insights
    • SPMS
    • OD GRAD CONNECT
    • AOA Business Cards
    • TheRightContactcom
  • Coordinate patient resources for each optometry school
    • Literature
    • Educational support tools
    • Samples (JIT for OTC products)
  • Coordinate requests from the following external groups:
    • AMCO
    • CLSA – Opticians
    • Tech Schools
  • Assist with coordination of the Academy for Eye Care Excellence Programs held on the Company Campus
    • Work with MEMS on planning & logistics
    • Schedule multifocal patients for the hands-on fitting workshops
    • Assist with each program
  • Maintain approved, future ‘social media’ sites including Facebook
  • Meeting coordination:
    • Internal: support departments
    • External: optometric organizations
  • Maintain up-to-date department key contacts and tracking documents
    • Optometry School Profiles and Key Contacts
    • Academic Program Worksheets for each Optometry School
  • Process documents relating to external consultants
    • SOWs
    • Consulting agreements
    • Process payments

  • Effectively works with:
    • Manager, Professional Development
    • Director, Academic Development
    • Director, Professional Meetings
  • Satisfactory completion of department projects
  • Executes customer requests on a daily basis
  • Positive feedback from interactions with key contacts within the academic community

Skills:

  • Minimum 2-3 years proven clerical and administrative responsibility
  • Experience in project management (preferred)
  • Able to manage multiple tasks and projects simultaneously and independently
  • Strong organizational skills
  • Effectively manages deadlines
  • Experience in successfully managing a department budget
  • Strong track record of being a team player
  • Demonstrates a can-do, goal-oriented, entrepreneurial spirit that stresses performance, execution, accountability, teamwork and success
  • Proficient in using Microsoft PowerPoint, Word and Excel
  • Excellent interpersonal skill set with a strong emphasis on e-mail and phone correspondence
  • High School Education required
  • College Education (preferred)
