Contract Event Coordinator Role

Role Summary:
  • The Event Coordinator is responsible for providing support to meeting and convention related administrative tasks.
  • The Event Coordinator role is an entry level, developmental role.
Essential Responsibilities:
  • Create web-based registrations for meetings and events in Cvent meetings management software; Monitor event website ongoing
  • Work with meeting stakeholders to determine e-communications (invitation, reminders, confirmations, final confirmations, etc.) required for each assigned event
  • Assists Business Owner to ensure Attendee Lists are completed/in approved format
  • Create SharePoint Microsites for Top Congresses
  • Coordinate with attendees to obtain their itineraries to identify actual rooms needed and ground transportation if requested)
  • Create and send standard and/or custom registration reports for meeting stakeholders Ongoing attendee management/ customer service
  • Create, print, and gather onsite materials (name badges, table tents, sign-in sheets, table-cloth, registration sign, etc.) required within due dates. Ensure availability of printed material before meeting.
Basic Qualifications:
  • Adaptable and flexible with a positive can-do attitude
  • Strong attention to detail and experience w/ data entry
  • 0-2 years of work experience
  • High School diploma or equivalent
  • Proficient with MS Word, Excel, Power Point
  • Efficient time management skills
  • Strong interpersonal skills and listening skills
Desired Qualifications/Skills:
  • Work independently to complete task related activities with attention to detail in a fast-paced environment
  • Experience working one or more meetings management software(s)
  • Previous work experience in meeting/convention coordination
  • Bachelor’s degree preferred
  • An affinity for creativity and creative work while adhering to regulatory guidelines
  • Ability to build relationships and collaborate with others inside and outside the department
  • Aptitude and capabilities in technical, systems and business process skills
