Duties

• Provides daily proactive administrative support to executives, directors and assists additional team members with administrative duties as needed
• Interface with other coordinators throughout the company on behalf of the department.
• Primarily responsible for maintaining calendars, coordinating meetings and making travel arrangements
• Schedules meetings/reserve conference rooms and VTC’s/catering requests
• Arranges and coordinates travel requests & expense reporting
• Manages communications as requested, including telephone calls, meeting planning, email messages
• Prepares grammatically correct correspondence, reports, meeting minutes, tables, and analyses
• Provides clerical support including filing, faxing, copying, scanning, mailing, and some data entry
• Generate and format basic presentations
• Oversees organization and maintenance of files including potentially confidential data.
• Order supplies and keep department within the budget
• Manages the on-boarding and off-boarding of colleagues
• Manages and coordinates the building seating design and layout
• Coordinate meetings and logistics for executive guests
• Must have knowledge of or quickly learn internal electronic systems to facilitate completion of tasks (ITS, MOBI, eBuy, Sharepoint, Tririga, Concur, etc.)
• Exercises discretion when handling confidential material and information

Skills
• Proven prioritization and multitasking skills, detail orientation and excellent computer skills, including Excel, Word, PowerPoint, and Outlook are also required.
• Excellent interpersonal, oral and written English communication skills.
• Ability to influence in a proactive, objective and diplomatic manner within all levels of the company; and work collaboratively, independently and with a sense of urgency.

Education

Preferred Qualifications:
• Bachelor’s degree preferred with a concentration/focus in Business Administration or High School Diploma and 5+ years administrative experience, preferably with experience providing support to director/executive level.
