  Job Description

  • The Archiving Specialist will perform various duties pertaining to the document preparation, scanning and archiving of GMP documentation at the USFW TRD Site.
  • Participate in documentation preparation activities involving:
  • Classification of documentation
  • Verification that documentation is complete and fully approved
  • Orienting, repairing and removing objects such as staples and paperclips from the documents
  • Unfolding corners, taping down small pieces of paper on larger sheets
  • Removal of logbook bindings
  • Preparation of header sheet and pagination of documents
  • Perform the following digital scanning and archiving activities:
  • Scanning the document to a shared drive
  • Adjusting page/paper sizes as required
  • Reassemble documents after scanning has been completed
  • QC / review documents and fully reconcile scanned pages to ensure completion; rescanning of missing pages as required.
  • Uploading of scanned document to company’s document management system
  • Placing physical documentation into archiving boxes and updating log
  • Contacting vendor for documentation pickup
  • Demonstrate high level of safety awareness and notify supervisor of potential hazards
  • Follow security and privacy policies, standards and guidelines in order to protect company’s assets
  • Escalate quality issues to supervisor in real-time.

Required Skills:

  • Great attention to detail and quality first mindset
  • Excellent communication, organizational and documentation skills
  • Familiarity with copier and scanner functionality
  • Proficiency in MS Office applications and Adobe Acrobat
  • Previous archiving experience preferred
  • Knowledge of GMP and GDP requirements preferred
  • High School Diploma
